If you're preparing for your upcoming business or personal trip and notice that hotel bookings, airport transfers, or other itinerary components are missing, don’t panic. Here’s a step-by-step guide to help you verify and resolve the issue yourself before escalating to the travel desk.


✅ Step 1: Double-Check Your Email & Attachments

Sometimes key details are included in:

  • A separate email or forwarded message (especially hotel vouchers)

  • PDF attachments labeled "Travel Voucher", "Hotel Confirmation", etc.

  • The airline PNR email, which may contain hotel and transfer details if it’s a bundled booking

🔍 Tip: Search your inbox using terms like “Dubai itinerary,” “voucher,” or the booking reference number (e.g., DXB2025-1427)


✅ Step 2: Log In to the Travel Portal (if applicable)

If your company uses a booking platform (like Egencia, Concur, or ITILITE):

  1. Log in using your credentials

  2. Navigate to My Trips / Upcoming Trips

  3. Click on your Dubai trip

  4. Look for tabs labeled “Hotel,” “Transfers,” “Documents”, etc.


✅ Step 3: Verify Flight & Hotel Status Using Booking Reference

You can check your reservation status directly with the airline or hotel:

  • Flights: Visit the airline’s website and enter your PNR/Booking Reference to see updated flight schedules.

  • Hotel: If you know the hotel name, call or check online using your name and travel dates.

  • If no reservation is found, your hotel may not yet be confirmed.


✅ Step 4: Check if You Received a Provisional Itinerary

In some cases, the travel desk shares a tentative itinerary first, and final confirmations (esp. for hotels/transfers) are added later. Check the email wording — it may say “awaiting hotel confirmation” or “booking under process.”

If the above steps don’t help, send a clear email including:

  • Your full name

  • Travel dates

  • Booking reference number

  • Specific issue (e.g., “hotel confirmation missing”)
